Information we process

LoopLily processes account and workspace information, contacts you enter or import, important dates, tasks, templates, automation settings, sending history, and communication preferences to provide client-care automation. You are responsible for having permission to upload and contact the people in your workspace.

Google account access

When you connect Gmail, LoopLily requests your Google account identity information, including your email address and profile name, to identify the sending account. It requests Gmail send permission to send the messages you configure. This connection does not request permission to read your inbox, retrieve your existing messages, or modify or delete your mailbox.

How Google data is used and stored

LoopLily uses the connected address and name to identify your sender and uses OAuth credentials to send authorized messages, including scheduled messages while you are offline. We store the connected account details, encrypted refresh credentials, connection status, and sending records needed to operate and troubleshoot this feature. Messages you configure and recipient addresses are transmitted to Google for delivery. LoopLily does not receive your Google password.

Sharing and service providers

Google processes account authorization and email delivery. Google Firebase services provide account authentication, database storage, and backend processing. Providers operating our hosting and service infrastructure may process information as necessary to run the service. Stripe processes subscription checkout and billing information when you purchase a plan. Support requests include the information you choose to submit. We do not sell Google user data or use it for advertising, credit decisions, or unrelated purposes. Data may also be disclosed where required by applicable law or necessary to address abuse or security threats.

Google Limited Use

LoopLily’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements. Google Workspace API data, including derived data, is not used to develop, improve, or train generalized or non-personalized AI or machine-learning models. Human access to Google user data is limited to circumstances permitted by that policy, such as your explicit consent, security investigations, or legal obligations.

Security

The Gmail integration uses HTTPS for Google API requests and encrypts stored refresh credentials with AES-256-GCM. Workspace access is checked before connecting a sending account. No system can guarantee absolute security; contact us if you suspect unauthorized access.

Retention and deletion

Workspace information is retained while needed to provide the service. You can remove individual contacts and other records using the app and use the Contact LoopLily form below, select Privacy or data deletion, and provide your account email to request deletion of your account or Google-related data. We may verify account ownership before processing a deletion request. Subscription cancellation schedules workspace deletion at the effective cancellation date shown in the app; this includes contacts, templates, automations, and sending history, and the associated owner account. Export records you need before that date. Legal obligations, security records, and provider backups may have separate retention requirements; contact us for details applicable to your request.

Disconnecting Google

Use Settings → Disconnect to stop future Gmail sending from your workspace and remove its saved Gmail connection credentials. This does not delete your contacts or sending history, or messages already delivered through Gmail. You can also revoke LoopLily’s access in your Google Account’s third-party connections settings. Contact us separately to request deletion of retained data.

Recipient choices

LoopLily includes an email preferences link in outgoing messages and checks recipient restrictions before automated sends. Workspace owners must respect consent, unsubscribe choices, and applicable communication rules.

Policy changes

We will update this page when our data practices change. Material changes in how Google user data is accessed or used will be disclosed in the app before the new use, with additional consent where required.
