Count occasions, not just rules
A client can receive a birthday greeting, a holiday note, and an appointment reminder in the same week. Each may be reasonable individually, but the total experience deserves review. Look at upcoming dates and existing automations together before adding another touchpoint.
Prioritize useful communication
A reminder tied to an actual appointment usually has a clearer immediate purpose than an extra generic check-in. Decide which messages are essential to the service and which are optional relationship gestures. Preferences and the client’s response should inform that distinction.
Review and simplify
Use the Sending Log to understand the pattern of attempted messages. If the routine feels crowded, consider pausing or narrowing a rule instead of rewriting every subject line. There is no universal ideal frequency for every business or client. A sensible cadence reflects your service, the relationship, and the recipient’s preferences rather than the number of templates available.
