Collect only the details your message needs
A focused record is easier to maintain and safer to use in routine emails.

Work backward from the purpose
An appointment reminder needs a date and, when relevant, a time. A birthday greeting needs birthday information and an appropriate name. Neither requires a long account of the person’s private circumstances. Define the useful fields before asking clients for more information.
Keep sensitive context out of templates
Reusable emails can reach people in shared inboxes or appear on a lock-screen preview. Avoid adding sensitive case details, health information, or personal explanations to a general reminder. Keep specialized records in the appropriate systems and use neutral wording for the routine touchpoint.
Review what you store
Periodically inspect contacts for information that is outdated, unclear, or unnecessary for your workflows. A smaller set of accurate fields can be more valuable than a detailed record nobody maintains. When adapting a template, check that personalization uses supported fields with predictable contents. Good client care does not require collecting every possible fact about the client.
