Define the review

An annual review can mean checking a service plan, revisiting goals, or confirming that contact details are current. Explain the purpose in plain language so the client knows why the meeting matters. A vague ‘It is that time again’ gives them little reason to respond.

Maintain the relevant date

Use the appropriate saved date and automation for the review workflow. Choose a lead time that leaves room to arrange the conversation. Check the actual record rather than assuming the anniversary of the first purchase is always the correct review date.

Make the invitation modest

A fictional message might say: ‘It is a good time to review your current arrangements and discuss anything that has changed. Reply if you would like to arrange a conversation.’ Adapt it to the service you provide. Once the review is complete, update the record and any future dates. A recurring reminder is useful only while its information and purpose remain current.
