Scheduling & reminders
Plan renewal reminders around the client’s next step
A renewal email should help someone prepare, not just announce a deadline.

Keep the renewal date reliable
Save the current renewal date on the contact and update it when the agreement changes. Do not leave last year’s date in place and expect the wording to compensate. The date used by the reminder should match your actual business record.
Explain what happens next
Write a template that tells the client what you need: a conversation, confirmation, or another clearly defined action. Keep private contractual details out of a general reusable email. If the situation requires individual advice or a detailed review, invite that discussion through your normal process.
Review after completion
When the renewal is handled, update the saved information and inspect any remaining scheduled communication. A completed task should not continue receiving obsolete prompts. Review the Sending Log when there is uncertainty about earlier messages. LoopLily can support the timing of a reminder, while the business still owns the underlying agreement and the decision about what should happen next.
